Job Summary:

The Corporate Event Planner is responsible for the coordination of the corporate event management process. This position serves as the liaison between customers and Pranzi Corporation to ensure that requirements are met in the most efficient and cost effective manner. Operating as a centralized entity with specialized skills in planning, managing and consulting on corporate events.

The ideal candidate will be organized, demonstrate strong interpersonal skills and have a strong service orientation. They will work well in a fast-paced and team-oriented environment, with limited direction and will demonstrate eagerness to learn and take on additional responsibility.

The Corporate Event Planner will successfully plan and execute Corporate Events, Meetings may include Sales Meetings, Strategic Planning Meetings, Conferences, Ad Boards, training, etc. The position requires exemplary customer service skills, ability to utilize online registration and strong contract negotiation skills, excellent accuracy and attention to detail, and solid problem-solving skills.

This role also calls for flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal management and staff, as well as client and vendors

  • Respond to inquiries and leads regarding all types of corporate & social atering events
  • Proactively interact with customers/leads; as a representative of Pranzi Corporation.
  • High importance in responding promptly and professionally, whether by phone or email, throughout the entire planning and pre-event process, and creates written communication confirming all details discussed.
  • Develop proposals, including menu, rentals, service, creative needs, and contract terms, taking customer's vision and budget into account. Ensures the quotes are correct and helps/supervises to ensure all the details are captured correctly prior to and day of special events.
  • Follow through and oversee all the aspects of events, such as ordering of rentals, linen, floral/décor if necessary as well as client/guest interaction.
  • Develop event orders and floor plans as well as cover sheets to help streamline event planning & execution from start to finish.
  • Also confirms event with the customer and makes arrangements and gets the proper deposit and payment as per the signed and agreed agreement.

Business Development

Research & solicit potential leads for new business.

  • Develops networks and relationships with Local Community, Chamber of Commerce, social networking groups and find avenues to build new business and retain existing business.
  • Provide sales activity logs and communicate weekly on catering activity.
  • Achieves monthly solicitation, site visit and outside sales calls as required in order to achieve monthly and quarterly assigned revenue goals.
  • Setup and host tastings/sales presentations at Providence office or client’s location or convenience.
  • Develop and maintain relationships with leads through the entire sales process, and continuing as they become repeat customers.
  • Coordinate all project deliverables, task lists, work effort, resources, timelines, roles and responsibilities, milestones, critical sign offs, required reports, status updates for each program. This includes client interaction, preparation for meetings, agenda.
  • Ensure compliance guidelines are followed, materials are routed as appropriate and all approvals obtained.
  • Confirm deliverables with all parties prior to the meeting and follow checklists to ensure proper meeting execution.
  • Contribute to other marketing efforts, email newsletters, social media, etc.

Qualifications:

  • Experience in Hospitality, Travel, and Tourism or related field.
  • Minimum of 3 years of corporate meeting planning experience.
  • Manage several events and projects simultaneously while maintaining highest level of client satisfaction.
  • Understand the legal and compliance environment and drive collaboration with the Legal and Compliance team
